Grantee Documents


Grants Management provides a range of materials for organizations interested in familiarizing themselves with the Grants Gateway. These include topical documents related to Registration and Prequalification, as well as a vendor user manual, which covers most system functions in detail. 

Registration Documents

The following documents are available to assist with the Grants Gateway registration process.


    Substitute W9 Form

    If your organization does not already have a New York State SFS Vendor ID, download, complete, and attach the Substitute W-9 Form to the completed Registration Form for Administrators and the Grants Management team will obtain one on your behalf.



Prequalification Documents

The following documents are available to assist nonprofits with the Grants Gateway Prequalification process.


    Sample Board of Directors Profile

    Each nonprofit must submit a Board of Directors profile with their Prequalification application. This sample document can be used as a guide if an organization needs help creating a profile. 




    MWBE Board Resolution Template

    When a nonprofit is completing their prequalification application, one requirement is to have policies/resolutions in place, including one for MWBE. This template can be used if a nonprofit organization does not have a MWBE policy. 



Vendor User Manual

The Vendor User Manual provides a basic walkthrough of most system functions.
